Who we are: Teamsters Local 357 (“Local 357,” “we,” “us,” or “our”) operates public websites and members-only online services (collectively, the “Services”). This page explains our privacy practices and acceptable use standards for local357.org and related portals.

1) Scope

This Policy explains how we collect, use, share, and protect information, and the rules for using our Services. It applies to all visitors and members who access local357.org and related subdomains or portals, including any web forms and messaging programs (email and SMS).

2) Information We Collect

  • Account & profile data: Name, membership status/ID, contact details (email, phone, mailing address), employment/airline info provided by you, your employer where applicable, or Local 357 officials for legitimate union purposes.
  • Credentials & security data: Usernames, hashed passwords, security logs.
  • Communications & preferences: Email/SMS preferences, committee form submissions (e.g., Hotels, Jumpseat, Stewards), and survey responses.
  • Usage data: Pages viewed, session timestamps, referring URLs, device/browser data, and generalized location from IP for fraud and security.
  • Cookies & similar tech: See Cookies & Tracking.

3) Sources of Information

  • You: Data submitted during registration and when updating your profile.
  • Local 357 officials: Updates necessary for membership administration and representation.
  • Employers/airlines: Limited data relevant to union representation, where permitted by law and applicable agreements.
  • Automated collection: Standard server logs and analytics.

4) How We Use Information

  • Membership administration: Maintain accurate records, verify eligibility, and provide member services.
  • Communications: Send union updates (e.g., pay day notices, safety/scheduling advisories), operational or emergency alerts, and portal notices according to your preferences.
  • Operations & improvement: Secure, maintain, measure, and improve the Services; plan site capacity and features using aggregated statistics.
  • Safety, security, and compliance: Prevent fraud/abuse, enforce policies, protect rights and safety, and comply with legal obligations.

Where required (e.g., EU/EEA/UK visitors), we process personal data based on legitimate interests in administering a labor organization, your consent (e.g., SMS opt-in), performance of a contract (member portal access), and/or legal obligations.

6) Sharing & Disclosure

  • We do not sell or “share” personal information for cross-context behavioral advertising.
  • Service providers (“processors”): Trusted vendors (hosting, email/SMS, analytics, association management platform) are bound to use data only for our purposes and to protect it.
  • Committees: Form submissions (e.g., Hotels, Jumpseat, Stewards) are visible to the relevant committee for follow-up.
  • Legal and safety: We may disclose information when required by law, subpoena, or to protect our members, the public, or our Services.

7) Your Choices & Rights

  • Access/Update: Log in and use Profile → View/Edit My Profile to review or update information.
  • Email preferences: Adjust in your profile or email [email protected].
  • SMS preferences: See SMS Terms (STOP/HELP).
  • Privacy requests: Request access, correction, or deletion via [email protected]. Where required by law, we will verify identity and respond within the statutory timeframe, with an appeals process if needed.
  • Do Not Track: Because no standard exists, we do not respond to DNT signals; manage cookies as described below.

8) Data Retention

We retain personal data only as long as necessary for union administration, to provide the Services, to meet legal/record-keeping duties, and to resolve disputes. When no longer needed, we anonymize or securely delete data per our retention schedules.

9) Security

We use administrative, technical, and physical safeguards appropriate to data sensitivity, including:

  • Encryption in transit (TLS), access controls, logging/monitoring, and least-privilege access.
  • Vendor due diligence and contractual data-protection obligations.

Your role: Always log out on shared devices (e.g., crew rooms), close your browser when finished, and keep your password confidential. Report any suspected account compromise to [email protected].

10) Cookies & Tracking

We use cookies or similar technologies to maintain sessions, remember preferences, analyze usage, and enhance security.

  • Your controls: Most browsers let you block or delete cookies. If you block necessary cookies, you may be unable to log in or use member Services.
  • Analytics: We use aggregated analytics to understand traffic and improve content; we don’t use third-party behavioral advertising.

11) Third-Party Links

Our Services may link to external sites. Their privacy and security practices are their own; please review their policies. Local 357 is not responsible for external content or practices.

12) Children’s Privacy

Our Services are not directed to children under 13, and we do not knowingly collect their personal information.

13) International Visitors

If you access the Services from outside the United States, you understand your information may be processed in the U.S., where data-protection laws may differ from those in your country.

14) Changes to This Policy

We may update this Policy to reflect operational or legal changes. We will post the new effective date above. Material changes will be highlighted or otherwise communicated where appropriate.

Acceptable Use Policy (AUP)

A. Purpose

To protect members, our systems, and the union, these rules govern use of the Services, including portals, forms, file uploads, and messaging features.

B. Account Responsibilities

  • Keep credentials confidential; do not share accounts.
  • Use accurate profile information and update it as needed.
  • Log out and close the browser on shared devices.

C. Prohibited Conduct

You may not use the Services to:

  1. Violate any law, regulation, or contractual obligation.
  2. Infringe privacy or intellectual-property rights, or disclose others’ confidential/crew-member information without authorization.
  3. Harass, defame, threaten, discriminate, or engage in hateful conduct.
  4. Send spam, phishing, malware, or attempt to disable, overburden, or impair the Services.
  5. Bypass access controls or probe/scan systems without written authorization.
  6. Scrape, harvest, or mine personal data except as expressly allowed for union purposes.
  7. Misrepresent identity or affiliation.
  8. Upload or share content that is unlawful, obscene, or violates another party’s rights or our agreements.

D. Content Standards & Community Conduct

  • Be professional and respectful in forms, comments, and submissions to committees.
  • Share only information necessary for union purposes; avoid unnecessary personal data of others.
  • Do not post employer proprietary data unless sharing is authorized and necessary for representation.

E. System Integrity & Security

  • Do not introduce viruses or malicious code.
  • Report suspected vulnerabilities or misuse to [email protected].
  • Do not copy, reverse engineer, or host mirror sites without authorization.

F. Enforcement

We may investigate suspected violations and may remove content, suspend access, or terminate accounts where warranted. We may report unlawful conduct to appropriate authorities.

SMS Terms (Member Messaging)

1) Consent & Opt-In

  • SMS is sent only to numbers that provided prior express consent specific to our program (e.g., unchecked opt-in box on a web form, keyword text-in, paper form).
  • No third-party or purchased lists. Consent is not transferable.
  • We maintain opt-in records (time, source/method, and IP if online).
  • For A2P 10DLC traffic in the U.S., our brand and campaigns are registered before messaging begins.

2) Disclosures at Opt-In

  • “Msg & data rates may apply.”
  • Message frequency (e.g., “Recurring msgs, up to 1–2/mo”; actual frequency may vary with operational alerts).
  • Keywords: HELP for help, STOP to opt out.

3) Opt-Out & Help

  • STOP: Immediately halts further messages; one final confirmation is sent: “You’re opted out and won’t receive more msgs. Reply HELP for help.”
  • We also honor common-language opt-outs (e.g., “unsubscribe,” “quit,” “end”) where reasonably detectable.
  • HELP: Returns program name, brief description, and contact info; “Msg & data rates may apply.”

4) Message Content

  • Every message clearly identifies Teamsters Local 357 and relates to union/member program purposes (e.g., pay updates, safety, scheduling, emergency alerts, meeting notices).
  • No prohibited or restricted content (e.g., illegal products/services, hate/violence, scams).
  • We avoid public URL shorteners; links use branded or dedicated domains where possible.

5) Frequency & Quiet Hours

  • Typical frequency: 1–2 msgs/month unless user-initiated or during urgent operational events.
  • Where required by law or carrier guidance for promotional programs, we observe reasonable quiet hours. Transactional/user-requested alerts may be sent at any time.

6) Data, Privacy & Security

  • We collect only data necessary for messaging and handle it under this Privacy Policy.
  • We do not sell phone numbers.
  • We process access/deletion requests consistent with applicable law.
